Hotline Promotional Products supplied 100 branded bamboo fans to Room 187, an R&B events brand now trading as 187 & Park, for its first outdoor festival at Colesdale Farm on 18 July 2026. The fans went to the first 100 guests through the VIP entrance, out of more than 400 VIP ticket holders. The order was a Hotline sponsorship.

Room 187 spent five years building a reputation for R&B events before taking the step up to a festival. The brand now trades as 187 & Park, and the July 2026 event at Colesdale Farm was its first outdoor festival, combining live performances with a boutique festival setting.
We have been hosting R&B events for five years now and this was a big step for us. We have built up a big brand… now in our fifth year we took the big step and hosted this festival which made sense with the growth of our brand.
That is David from the 187 & Park team, and the growth is the context for everything below. A first festival is where an events brand finds out whether the experience it sells at a venue holds up on a field.
More than 400 guests bought VIP tickets, which came with dedicated seating, separate facilities, their own food vendors and a better view of the stage.
We wanted to create an experience that matched what the customers paid for… exclusive, welcoming and memorable.
A fan is an unusually good fit for that brief because it does two jobs at once. It solves a real problem on a hot day in the middle of a field, and it is small, light and visible, which is what you want from something 400 people are holding in front of a stage.
The fans were beautifully created, it fit the aesthetic we were going for because of how summery the design was. People were able to use them to cool down when they needed.
This is the part worth copying. There were more than 400 VIP guests and only 100 fans, given to the first 100 people through the VIP entrance. Under-ordering on purpose is usually a mistake, and here it was the point. A giveaway that everyone gets is a fixture. A giveaway that the early arrivals get is a small event in itself, and it rewards the people who turned up on time in an area that was already sold as exclusive. It worked in the most useful way a giveaway can:
We had people saying we should hold on to them for them! Everyone was using them as a fan or as a prop to enhance their look!
Guests asking an organiser to look after a free item is about as clear a signal as this industry produces. If you are buying for a tiered event, it is worth deciding whether your merchandise is for everyone or for a specific tier before you decide how many to order, because the two decisions change each other.
The material was the client's preference, and they were direct about why:

We liked that they were made from bamboo instead of plastic… it was nice that they were a more environmentally friendly option as well.
The plain fact underneath that is that these fans are made from bamboo rather than plastic, and a bamboo fan is a rigid, reusable object rather than something that flexes and splits by the end of the afternoon. Whether a given product carries a recognised environmental certification is a separate question and one worth asking us, because we would rather tell you what a product is made of and let you judge it than describe it as eco and leave it there.
A nice, memorable touch and a souvenir that the guests can keep and use for future summers to come.
The keepsake point is the one that decides whether merchandise was worth the money. A branded item that goes home and comes out again next summer keeps working. One that goes in a bin at the gate cost the same and returned nothing.
The detail we are proudest of on this order is a small one.
We have had a perfect experience working with Hotline… Everything was well explained, the fans were well done… they even went over and beyond to find our flyer to make the design relevant without us giving them that information.

Our design team went and found the festival's own flyer so the fan artwork would match the event rather than just carry a logo. Nobody asked for that and nobody sent us the flyer. It is worth saying why that matters beyond the compliment. Merchandise for an event usually arrives looking like merchandise, because the brief is a logo and a product code. A fan that matches the poster reads as part of the event. If you are ordering for something with its own artwork, send us the artwork rather than only the logo, and say what the event looks like. You will get a better proof back.
Fans suit a hot, static crowd. If your event is a different shape, the products that tend to earn their place outdoors are the ones people carry anyway: reusable water bottles, cotton tote bags, picnic blankets, towels and sunglasses.
The test is the same for all of them. Will somebody use this during the event, and will they still have it in a month? A product that fails the first question is decoration. One that fails the second is disposable.
